Overview
The Merge Parts action allows you to:
Delete a buy item
Reassign its linked records to a target item
Consolidate records and inventory into a single item.
Use Merge Items when:
You want to consolidate a buy item into a make/buy item (where you both manufacture and purchase the part).
The same purchased part was accidentally entered twice with different names or part numbers.
You have duplicate vendor records split across two items.
⚠️ This action cannot be undone.
⚠️ Only Buy Items can be merged into other items.
What Gets Migrated
When a merge completes, all of the following records that referenced the source item are automatically updated to reference the target item instead:
Sales order line items
Purchase order line items
Quote line items
Receipt line items
Shipment line items
Jobs
Operations and production models
and more.
Vendor data is also merged: any vendors attached to the source item that are not already on the target are added to the target. Vendors already present on the target are left unchanged — no duplicates are created.
After migration, the source item is permanently deleted.
An activity history entry is recorded for all affected records so you have a full audit trail of what changed.
Accessing the Merge Action
You can initiate a merge from:
Option 1 — Item Details Page
Open the buy item details page.
Click the three-dot menu (⋯) in the top right corner.
Select Merge into Item.
Option 2 — Table/Grid View
Locate the item in the Buy Items list.
Click the three dots (⋯) on the far right.
Select Merge into Item.
Important: Always initiate the merge from the item you want to delete, not the item you want to keep.
Merge Parts Drawer
After selecting Merge, the system opens the Merge Parts Drawer.
Source Item
Automatically populated.
Labeled as (Will be deleted).
⚠️ This item will no longer exist after merge.
Target Item
Must be selected.
Labeled as (Will Remain).
Will inherit all supported linked entities from the source item.
Merge Check / Validation
The system runs a pre-merge check automatically. This is a safe, read-only validation that shows you:
Any blocking errors that must be resolved before the merge can proceed.
The source item's current inventory breakdown by status.
The number of vendor records that will be added to the target.
A full list of affected records grouped by type (sales orders, purchase orders, jobs, quotes, receipts, production models, etc.) so you can review the scope of the change before committing.

Correct source item selected (item to delete)
Correct target item selected (item to retain)
Source item inventory is 0
Unit of measurement is the same across items
Acknowledged merge cannot be undone
Final Confirmation
At the bottom of the drawer:
A warning indicates the action is irreversible.
Confirm source and target selections.
Click Merge Parts to complete.
After the Merge
Once the merge completes:
The source item no longer exists in your item list.
The target item now carries all historical records (orders, jobs, quotes, receipts, etc.) that previously belonged to the source.
