Invoice Creation
Setting up invoices within StartProto is simple:
From the main navigation menu, select the Sales module, then click Invoices.
Next, click New Invoice.
This will allow you to create an invoice from scratch.
Alternatively, if you'd like to have the invoice auto-populate with a given Sales Order's information, from the main navigation menu, select Shipping and Receiving, and click on Shipping List.
From within the Shipping List, you can click on the Sales Order you'd like to create / update invoicing for...
... then click on the Invoices tab.
From the Invoices tab, you can select Invoice All to create new Invoices for all Sales Order line items.
This page will auto-populate a new invoice with the appropriate company information, and allow you to select details such as the invoice date, due date, or contacts.
You can also view and edit the items, quantity, and amount due for each item on the invoice.
Once complete, click confirm.
This will now create a new invoice in the Invoices tab on the Sales Order.
Receiving Payment on an Existing Invoice
In order to receive payment on an invoice, simply navigate to the existing Sales Order's Invoices tab as described above, and click on the Invoice you'd like to mark that you've received payment for.
Once inside the invoice...
... click Receive Payment.
At this point, you'll be prompted to specify a payment Amount and Date, and optionally, Method, Reference Number, Memo, and any files you'd like to attach. Once ready, you can click confirm.
The Invoice will now reflect the new payment and update the "Payments" section to reflect the Invoice history.
Similarly, if you click the "back" button...
... you'll find that the Sales Order Invoices tab now also reflects these updates.
Updating an Invoice
In order to update an invoice, simply navigate to the invoice's details page using one of the methods demonstrated above, then click Edit.
From here, you can change key information regarding the invoice, such as Invoice Date, Due Date, Company, Billing / Shipping Address, Contact, Qty, Amount Due, Taxes, and Discounting.
Let's say, for the sake of example, we wanted to update the Invoice Due Date and Discounting.
You can adjust the Due Date field...
And Discount field....
Viewing all Invoice Line Items
From within the the Sales module, you can click on the Invoices Line Items to view all invoice line items across all Sales Orders.
Deleting an Invoice
If for any reason you ever need to delete an invoice, you can click the three dots on the right hand side and select Delete.
Once complete, you will find that the SO now once again reflects the newly updated invoices, and, in the case, that there are no longer any invoices, will now have a status of "Not Invoiced."
